    General Summary:

    Perform research and abstraction of leases and substantiating documents to facilitate appropriate lease compliance actions. Coordinate requests for Estoppel and Subordination documents from Landlords and mortgagees; verify research and documents are complete; coordinate response and resolution with requestor. Compile and prepare reports, notices and correspondence to assist in decision-making, compliance, and/or strategic planning.

    Job Details

    • Serve as initial point of contact for requests from Landlords and mortgagees for estoppel and subordination documents. Coordinate and confirm research by various internal parties is complete. Coordinate preparation of document with Leasing Coordinators. Field further inquiries for issue resolution.
    • Enter, edit, and maintain accurate records of executed lease renewal projects in Lucernex, WebXtender, and Microsoft Office software programs. Interpret and abstract extensive information from executed renewal documents and enter it into Lucernex to be used by the Company Growth Department for rent payments, CTI payments, and maintenance responsibilities and Finance Department for straight line rent information.
    • Facilitate the landlord maintenance reimbursements by auditing invoices, and approve/deny based upon lease responsibilities.
    • Create, compile and prepare reports and analysis on the existing store base for use in decision-making, negotiation, merchandise expansion opportunities, compliance and strategic planning.
    • Assist in departmental projects that may be assigned by management.



    • Thorough knowledge of company values, goals and leasing/store opening process.
    • Thorough understanding of lease language to assist in determining the effect lease language has on the company.
    • The ability to understand legal contracts and documents incorporated into a lease (purchase contracts, title commitments/policies, plans and specifications, restrictive covenants and declarations, scope of work, and alta survey)
    • Strong communication skills to effectively communicate with attorneys, landlords, mortgagees and third parties
    • Strong analytical skills to effectively research and prepare reports
    • Ability to organize to maximize work productivity
    • Ability to prioritize to assist in obtaining department goals
    • Demonstrated ability in MS Office products with strong Excel skills
    • Demonstrated ability with reporting tools such as Business Objects and Crystal reports
    • Clerical abilities including phone communication, filing, typing

    Work Experience/Education:

    Associates degree and 3 years minimum work experience in Real Estate or related field required. (Related fields would include Legal Office, Retail Leasing Office, etc.)
